Cancellation Policy

Notice period
We ask for at least 24 hours' notice if you need to cancel or reschedule an appointment. This lets us offer the slot to someone else who needs it. You can cancel or rearrange by phone, email, or through the online booking system used to make the booking.
Late cancellations and missed appointments
Appointments cancelled with less than 24 hours' notice, or not attended, may be charged in full. Where a deposit was taken at the time of booking, it may be retained to cover the reserved clinician time.
Arriving late
If you arrive late we will always try to see you, but your appointment may be shortened so that following clients are not delayed, and the full appointment fee will still apply. If too little time remains to treat you safely, the appointment may be treated as a missed appointment.
Cancellations by us
Occasionally we may need to cancel or move an appointment — for example due to clinician illness or an emergency call-out with the Response Team. If this happens we will contact you as soon as possible and offer the earliest suitable alternative. Any payment or deposit for an appointment we cancel is fully refundable or can be transferred to a rebooking.
Event and club cover bookings
Event medical cover and club season packages are booked against reserved clinician and resource time and are subject to separate terms set out in your booking confirmation or contract. Cancellation charges for these bookings are tiered by how much notice is given; details are provided at the point of booking.
Exceptional circumstances
We understand that illness, injury and emergencies happen. If you need to cancel at short notice for reasons outside your control, please get in touch — we will always try to be fair and reasonable, and cancellation charges are applied at our discretion.
How to cancel
To cancel or rearrange, call us on 01227 639694, reply to your booking confirmation, or use the online booking link in your confirmation email. If you cannot reach us by phone, leave a message or email and the timestamp will be used to determine the notice given.
